Study Abroad Office
Coordinator of International Projects
12 month 100% position

Primary Function:
The Coordinator of International Projects will manage and assist in the development of study abroad programs, in conjunction with colleagues in SIAA and the university.

Duties and Responsibilities

  • Manage student processes for and assist in the development of short-term courses abroad
  • Manage application, pre-departure, and returnee processes for course abroad students;
  • Advise students on program selection and preparation;
  • Maintain program-related web pages and design program-specific flyers;
  • Support programs while they are in the field, including maintaining regular contact and communication with campus units and parents, as necessary;
  • Monitor collection and upkeep of on-site student and faculty contact information;
  • Assist in administering post-program student evaluations and creating reports summarizing data;
  • Assist faculty in orientation of students; and
  • Support Assistant Director as needed in the following areas: securing housing, meals, flights, and other logistical support; working with faculty to design and deliver courses abroad; working with faculty and SIAA support staff to create program budgets;
  • Perform outreach to student groups
  • Provide guidance in outreach methods and materials to attract students and participate in outreach events such as class visits, informational sessions, the Study Abroad Fair, etc. as needed to complement faculty outreach;
  • Serve as the main liaison to student organizations when traveling internationally; and
  • Participate in policy-making related to orientation of student groups going abroad, and maintain written materials necessary for orientation.
  • Facilitate health and safety procedures for Illinois short-term programs and independent international activity (research, conferences, etc.)
  • Track all short-term program proposals as they come to SIAA and undergo health and safety review by the Assistant Director; Communicate with faculty or group leaders regarding the status of their proposal and follow-up steps after receiving approval;
  • Manage recording of, communication with, and processing of all non-course-abroad short-term program leaders and students, and students traveling independently; and
  • Provide pre-departure health and safety orientations to all short-term program students and students traveling independently.
  • May require some travel abroad and attendance at national/regional conferences.
  • Must be willing to work some evening and weekend hours including rotating as the Advisor on Duty who responds to emergency calls after hours.

Reporting Relationship:
The position reports directly to the Assistant Director for Short-term Programs, who reports to the Associate Director of the Study Abroad Office, who reports to the Director of the Study Abroad Office, who reports to the Associate Provost for International Affairs who reports to the Provost.

Qualifications
Required:

  • Bachelor’s degree;
  • Experience studying, working, or living abroad;
  • Experience working in a university or related setting;
  • Superior oral and written communication skills;
  • Strong organizational skills;
  • Enthusiasm and ability for working in an intense, team environment; and
  • Ability to perform with diplomacy and flexibility, especially under the pressure of deadlines.

Preferred:

  • Master’s degree;
  • Knowledge of theory, design, and evaluation of learning outcomes and assessments;
  • Experience working in a study abroad office or related setting;
  • Experience advising university students;
  • Experience collaborating with university faculty;
  • High-level proficiency in a second language;
  • Experience building and managing budgets;
  • Related computer skills (desktop publishing, surveys, statistical reports, etc.); and
  • Experience administering short-term study abroad programs.

Salary
Commensurate with experience and qualifications.

Program Manager – Part-time
(Academic Hourly Position)

International Programs and Studies/China Executive Leadership Programs

Primary Function:
Under the leadership and supervision of the Director, China Executive Leadership Programs (CELP), the Program Manager (academic hourly) will assist with planning and implementing executive education programs for Chinese business executives at the University of Illinois Urbana-Champaign campus.

Hours for this position will vary from a few hours per week to full-time based on program schedules.  This is an academic hourly position without benefits.

Duties and Responsibilities:

  • Coordinate planning for selected programs for the China Executive Leadership Programs, including budget preparation and management; schedule preparation, faculty and translator participation, seminars, field trips, cultural and social events.
  • Provide day-to-day, on-site management of selected CELP programs, ensuring efficient coordination of scheduled lectures and activities.
  • On behalf of CELP and the University of Illinois, act as a good-will ambassador for the visiting Chinese executives. 

Reporting Relationship:
This position reports directly to the Director of the China Executive Leadership Programs, who reports to the Associate Provost for International Affairs, who reports to the Provost.

Minimum Education, Work Experience and Skills:

  • Bachelors degree  (business or related field preferred0
  • Minimum five years management or other appropriate experience
  • Excellent English writing and speaking skills
  • Excellent computer skills, including Excel, PowerPoint, Word
  • Strong organizational skills and follow-through
  • Strong communication skills – ability to work well with people from other cultures
  • Flexibility and patience

Additional Work Experience, Skills Desired:
Experience working with executives/managers from large U.S. companies
Experience working with international executives and university faculty
Experience in budgeting/accounting
Experience in continuing education or professional development

Salary:

International Centers Administrative Services (ICAS)
Academic Hourly

ICAS invites applications for an entry-level Academic Hourly position providing support to ICAS, a shared service center handling a large volume of financial activity for 200+ accounts over 14 units.  Scope of work will be mostly financial in nature.  Responsibilities include: Prepare/copy documentation for various International units, including invoices, travel/invoice vouchers, foreign national payments, wire transfers, deposits; create financial transactions in Banner, including labor redistributions, journal vouchers, and POs; coordinate semi-annual expense confirmations for sponsored projects with principal investigators; and provide accounting and business expertise in relation to ICAS operations. Minimum qualifications: Bachelor degree in business administration, accounting or related field. 1-2 years of experience at the University of Illinois or similarly large institution in a financial reporting/financial accounting environment is desirable. This is a full-time Academic Hourly position without benefits.
